Importing Client Demographic Data

This article explains how to upload client demographic data into SureImpact using an Excel spreadsheet.

You are able to use your own client demographics file to upload new clients. There is no need to use a specific SureImpact template for uploading client demographics, but the file does need to be in a .CSV format. A few things to consider:

  • You will need to convert Excel files to a CSV file before uploading.
  • Because of the nature of a CSV file, you will need to remove any special characters—such as hyphens or commas—in all but three columns in your file prior to uploading. Here are the three columns that allow special characters:
    • Email address: example@gmail.com
    • Phone number: ###-###-#### or ##########
    • Birthdate: 01/01/2000
  • If you choose to assign the clients you are uploading to a Program in SureImpact, you must have a column in the upload template that includes the Program Enrollment Date for each client (programEnrollmentDate).
    • Note: The Program Enrollment Date can be different for each client.
    • It must be formatted as MM/DD/YYYY.
  • SureImpact follows culturally relevant best practices when collecting race and ethnicity data. Therefore, if your data system requires you to choose only one race, you will need to transform your data so that each race option has own unique column listing if it is “True” for that individual.

To import client data:

  1. In the top navigation, click Client.
  2. Click Import/Export Data, and then select Bulk Import Client Data.
  3. Click Choose File.
  4. Attach the desired CSV file.
  5. In the Search Programs field, enter the name of the desired program(s) where you want to assign the new clients, and then select the program(s).

    Note: You are not required to assign clients to a Program during the import process. You can skip this step. However, if you do choose to assign clients to a Program while importing them, you must have a column in the upload template that includes the Program Enrollment Date for each client (programEnrollmentDate). If you don’t include this column, you will receive the following data validation error:

  6. Click Next.
  7. Map your demographic file columns to those in SureImpact. On the left you can see the Column Labels from the file you imported. Click the drop-down arrow for each field to select the corresponding demographic.

    Note: If you do not want to import a specific column, click the green button next to Include in Import. It will now show that the column is not mapped and the button will be grey.

  8.  Once you have mapped all of the columns in your CSV file, click Import
