​SureImpact Analytics Quick Start Guide

This guide defines terminology, walks through how your initial data set is determined, and then explains how filtering works in the system.  

SureImpact Analytics contains many elements that you can use to extract insights from your data.   

This guide will define some terms, walk through how your initial data set is determined, and then explain how filtering works in the system.  

 

Terms 

Active Client: A client who is set to active  

Client: A person who exists within an organization 

Collaborative Organization: An organization that sponsors one or more child organizations 

Counts: sums of the values entered for all integer and decimal fields on a Measure 

Cutoff Field Response: Each measure has a cutoff field that determines success or failure, the cutoff field response is the value in that field 

Disenrolled Client: A client with a program enrollment end date during the specified time period 

Enrolled Client: A client with a program enrollment start date during the specified time period 

Failed: A measure fails when its success criterion is not met 

Individual Organization: An organization that is not sponsoring any other organizations 

Latest Outcome: The most recent outcome from a measure 

Measure: An organization-defined set of data used to assess success or sum fields 

Measure Instance: The number of times the measure has been assigned to the client previously (e.g., if this is the fifth time a client has received the measure, the instance will be 5) 

New Client: A client who was created during the specified time period 

Program: A collection of measures, cost, and dates.  Programs can be client programs (in which case, clients are enrolled and receive measures) or non-client programs (in which case, the program receives measures directly) 

Served: Clients who have received a service  

Service: Something that a staff does for a client (e.g., in-person meeting, afterschool tutoring, etc.) 

Service Activity: An instance of a service (e.g., I tutored Client A on Tuesday at 1:00pm for an hour) 

Successful: A successful measure is one where the measure criterion is met 

Total Clients: All clients who are in the initial dataset and meet current filter criteria 

Initial Dataset 

Your initial dataset is determined by the type of organization you’re in as well as your role within that organization.   

Individual Organization  

Individual organizations have access to any data in their organization. 

Collaborative Organization 

Collaborative organizations have access to any data in their organization as well as roll up data from sponsored organizations.  They will see the following types of rolled up data:  

  1. Service data for sponsored services 
  2. Program and enrollment data for sponsored programs 
  3. Measure data for any measure that is part of a sponsored program 
  4. Client data for any client who received a sponsored service or was enrolled in a sponsored program 

      User Roles 

      Once the rules above are applied, the initial dataset can be further restricted by user role.  In order from most restricted to most comprehensive: 

      • Staff with Assigned Clients – this role has two client assignment types: 
      • Assigned Clients – all data for clients directly assigned to the user 
      • Clients in Assigned Programs - all data for clients who are in a program that is assigned to the user and also in the user’s organization 
      • Manager – all data for clients directly assigned to the user and all data for clients that any of their Staff with Assigned Clients has access to 
      • Staff with All Clients – all data  
      • Analytics – all data 
      • Administrator – all data 

      Only users with the following roles can see child organization data: Administrator,  Analytics, and Staff With All Clients.   

      Filtering 

      There are two ways to filter the initial data set: Using the filter menu and cross-filtering visuals. 

      Filter Menu 

      The filter menu has a set of standard filters that appear on all pages; all these standard filters apply to the Client and will filter any client who does not meet all the selected filters.  

      A few examples: 

      1. If no filters are selected, you will see all data from your initial dataset (see above for how that is determined) 
      2. If State is filtered to Ohio, only data for Clients in your initial dataset who are in Ohio will display 
      3. If State is filtered to Ohio and Active Status is filtered to Active, only data for clients who are Active and are in Ohio will be displayed 

           

          Standard Filters 

          1. Collaborative Organization – only Clients who are in the Collaborative Organization or a child Organization of that Collaborative Organization will be shown 
            1. Note: This filter is only usable for Collaborative Organizations that have child Organizations that are also Collaborative Organizations.   
          2. Organization – only Clients who are in the selected Organization will be shown 
            1. Note: This filter is only usable for Collaborative Organizations 
          3. Program – only Clients who have ever been enrolled in the selected Programs will be shown 
          4. Measure, Response – this is a two-level filter 
            1. The top level (measure) will filter out clients who do not have at least one of the selected measures 
            2. The second level (response) will filter out clients who do not have the selected responses to the parent measure 
          5. Active Status - only clients who match the selected active statuses will be shown 
          6. Postal code - only clients in the selected postal codes will be shown 
          7. State - only clients in the selected states will be shown 
          8. Gender Identity – only clients who are of the selected gender identities will be shown 
          9. Race – only clients who match at least one of the selected races will be shown 
          10. Hispanic/Latino - only clients who match the selected Hispanic/Latino options will be shown 
          11. Client Creation Date – only clients who were initially entered into SureImpact during the selected date range will be shown 
          12. Enrollment Start Date – only clients who had an enrollment that started between the selected date range will be shown 
          13. Active Enrollment – only clients who had an active enrollment during any time within this date range will be shown 

                                        Page-Specific Filters 

                                        1. Service Date (Services page only) – only Clients who had a service date that occurred between the date range will be shown 
                                        2. Measure Date (Measures page and sub-pages only) - only clients who had a measure with a score date in the date range will be shown 

                                        Hovering Over Visuals

                                        Hovering over visuals sometimes brings an extra window that shows extra details.

                                        Cross-Filtering Visuals 

                                        Many visuals in SureImpact Analytics can filter other visuals by clicking on them.   

                                        The following image shows a breakdown of all client gender, race, and ethnicity data in an organization. 

                                        Clicking on the Unknown bar in the Total Clients by Race visual will update the Total Clients by Gender and Total Clients by Hispanic Latino visuals (as well as all the other visuals on the page).   

                                        You can also hold Ctrl (or Command on Mac) and click multiple items in the same visual to expand the scope of what you see (in the example below, Total Clients by Gender is filtered to include Female and Male, while excluding Prefer not to specify.  

                                        There are many types of cross-visual filters available, including: Bars in bar charts; points in a line chart; rows, columns, and cells in a table.
